Bring your first buyers online without disrupting orders

Choose a useful pilot buyer.

Begin with a customer whose products and buying rhythm are familiar. A regular buyer gives your team a clear example of what the first successful online order should look like.

Do not choose only by account size. A responsive contact and a straightforward product assortment can make the first trial easier to learn from.

Prepare the buying experience before the invitation.

Assign the products that buyer needs and verify the relevant prices. Check descriptions, variants, and selling units so the buyer does not have to translate an internal shorthand.

Prepare a short explanation of what they can do: sign in, review their products, enter quantities and a PO number, and place the order. Give them a person to contact if something is unclear.

Walk through the first purchase.

Invite the buyer to place a familiar order. Observe whether they can recognize the products and find the right quantities. Ask about anything that feels slower than their existing process.

Follow the order through the supplier dashboard. If accounting integration is part of your rollout, include the invoice review instead of stopping when the buyer submits.

Use feedback to improve the setup.

Early hesitation often points to a specific issue: a missing item, an unclear description, an unexpected price, or login access. Record the issue and resolve it before inviting a larger group.

Avoid interpreting every question as resistance to online ordering. Sometimes a small catalog correction is enough to make the next visit much easier.

Expand by purchasing pattern.

Invite the next group once the first buyer’s process is dependable. Grouping customers with similar products or order habits can make account preparation more manageable.

Review activity after a normal purchasing cycle and follow up with accounts that have not used the portal. Keep the conversation practical: what would make their next order easier?
