How to organize customer-specific pricing

Keep negotiated rates clear as your buyer network grows.

Begin with the customer agreement.

Before configuring prices, identify which agreement applies to each buyer company. Some accounts may use a regular list, while others have negotiated rates on specific products.

Build a reviewable list of exceptions rather than relying on email history or one person’s memory. Include enough context that another team member can understand why a price exists.

Keep the selling unit explicit.

Price comparisons are only useful when they describe the same unit. A lower case price and a higher individual-piece price are not contradictory if the quantities differ, but the portal must make that distinction clear.

Review the product description and price together. Buyers should understand what the displayed rate buys before they add a quantity.

Treat a quantity break as a separate rule.

A negotiated customer rate and a quantity-based price break answer different questions. The customer agreement establishes the account context; a tier changes the rate based on the amount purchased.

For each tier, specify the threshold, the unit being counted, and the intended result. Test values on both sides of the threshold to make sure the buyer sees what your sales team expects.

Check from the buyer’s point of view.

Select a familiar product and inspect the configured account price. Then inspect a second buyer who should see a different price. This is a practical way to catch an incorrect assignment before the portal is widely used.

Also check whether a restricted product is absent from the relevant catalog. Price accuracy and visibility both contribute to the customer’s buying experience.

Set a review habit for changes.

When an agreement changes, update the affected records and confirm the result. Keep the commercial decision separate from the person performing the configuration so the intended outcome is clear.
